REFUND POLICY

1. Overview
Cowboy Travel Limited (“Cowboy”, “we”, “us”, or “our”) acts as an intermediary platform connecting travellers with third-party accommodation providers, transport operators, and activity providers (“Service Providers”).
All bookings made via the Cowboy platform are subject to the terms, conditions, and cancellation policies of the relevant Service Provider, unless otherwise stated.
2. General Refund Principles
• Refund eligibility is determined primarily by the Service Provider’s cancellation policy.
• Cowboy does not guarantee refunds unless explicitly stated.
• Where a refund is approved, Cowboy will process it via the original payment method.
• All refunds are processed in EUR, which is the original transaction currency used between Cowboy and the Service Provider.
• Users paying in another currency may receive slightly different refund amounts due to exchange rate fluctuations or bank foreign exchange fees outside Cowboy’s control.
3. Accommodation Bookings
3.1 Cancellation by User
• Refunds depend on the specific hostel/accommodation partner’s policy shown at booking.
• Common structures may include:
o Free cancellation within a defined window (e.g., 24–72 hours before check-in)
o Partial refunds
o Non-refundable bookings
3.2 No-Shows
• Failure to check in without prior cancellation is treated as a no-show.
• No refunds will be issued unless the Service Provider and Cowboy agrees otherwise.
4. Activities and Transport
• Activities, tours, and transport bookings are typically non-refundable or subject to strict cancellation windows.
• Any refund is strictly subject to the third-party provider’s terms.
5. Currency and Payment Processing
• Service Providers are paid and settled in EUR only.
• Currency conversion displayed to users at checkout is indicative and may vary slightly depending on the user’s bank or card provider.
• Cowboy is not responsible for additional bank foreign exchange charges, exchange rate spreads, or international transaction fees applied by financial institutions.
• Refunds are returned in the original transaction currency (EUR) through Stripe or the relevant payment processor.
6. Non-Refundable Fees
The following are non-refundable under all circumstances:
• Cowboy service/booking fees (if applicable)
• Payment processing fees retained by payment processors including Stripe
• Currency conversion or foreign exchange fees charged by banks or card providers
7. Payment Processing and Timing
• All payments are processed via third-party payment providers including Stripe.
• Approved refunds:
o May take 5–10 business days to appear in your account
o May be delayed due to bank processing times
• In certain cases, payouts to Cowboy may be delayed (e.g., fraud prevention or rolling reserves), which may impact refund timing.
• Where Stripe or another payment processor retains transaction fees on refunded payments, Cowboy may absorb these costs at its discretion and will not charge them back to accommodation providers unless otherwise agreed.
8. Amendments and Changes
• Changes to bookings (dates, guests, etc.) are:
o Subject to availability
o May incur additional charges
o May not be permitted for non-refundable bookings
9. Provider Cancellations
If a Service Provider cancels a booking:
• Cowboy will:
o Offer a full refund, or
o Provide a reasonable alternative where possible
Cowboy’s liability is strictly limited to the amount paid for the booking.
10. Exceptional Circumstances
Refunds due to events outside normal control (including but not limited to):
• Weather conditions
• Travel disruptions
• Government restrictions
• Personal circumstances
…are handled strictly in line with the Service Provider’s policies.
Cowboy does not provide additional compensation beyond what is recoverable from the provider.
11. Chargebacks and Disputes
• Users agree to contact Cowboy first before initiating a chargeback.
• Fraudulent or abusive chargebacks may result in:
o Account suspension
o Future booking restrictions
Cowboy reserves the right to contest all chargebacks with supporting documentation.
12. Limitation of Liability
To the maximum extent permitted under Irish law:
• Cowboy acts solely as an agent/intermediary.
• Cowboy is not liable for:
o The acts, errors, or omissions of Service Providers
o Service quality, cancellations, or failures
• Liability is strictly limited to the amount paid by the user to Cowboy.
